Job Description:
An office administrator for a jeweller oversees daily back-office operations. They manage inventory, process billing, handle vendor communications, and maintain meticulous documentation for gold, diamond, and silver stock. Key Responsibilities
1. Inventory & Stock Management
- Tagging & Barcoding: Ensure all jewellery items are correctly tagged with item codes, weight, purity, size, and pricing.
- Stock Audits: Regularly reconcile physical inventory with the jewellery management software to prevent discrepancies.
- Quality Verification: Verify actual weight on precision scales and check diamond carat counts and quality.
- Stock Movement: Oversee the transfer of stock between manufacturing units, warehouses, and the retail showroom. [1, 2, 3]
2. Documentation & Compliance
- Regulatory Compliance: Maintain accurate records for taxation (GST, TDS), hallmarking requirements, and legal documentation.
- Filing: Keep detailed files for sales invoices, purchase receipts, and vendor contracts.
- Reporting: Prepare daily and weekly MIS (Management Information Systems) reports on sales performance, stock levels, and cash flow. [1, 2, 3, 4, 5]
3. Administrative & Financial Duties
- Billing & Accounts: Manage basic accounting, including processing payables and receivables, and reconciling bank statements.
- Petty Cash: Handle office petty cash, track daily expenses, and coordinate with the head accounting team.

4. Team & Client Support
- Coordination: Act as a central point of contact between executives, store managers, goldsmiths, and external stakeholders.
- Client Handling: Assist with escalated customer queries, VIP appointments, and post-sale services like repairs.

Essential Requirements & Skills
- Experience: 1 to 3 years of administrative or back-office experience, preferably in retail or the jewellery/luxury sector.
- Technical Skills: Proficiency in MS Office (especially Advanced Excel) and experience using inventory or Point of Sale (POS) software.
- Attention to Detail: Absolute accuracy required when dealing with precious metals, high-value stones, and financial figures.
