Job Description:

Role Summary

The Executive – Admin & Operations Support will be responsible for handling administrative coordination, director-level support, travel and visa documentation, tender-related activities, appointment scheduling, operational support, and special business coordination tasks. The role requires strong organizational skills, multitasking ability, and proactive coordination with internal and external stakeholders.

KRA: Task / Activities

  • Providing visa documentation support and coordinating travel arrangements for Directors and management
  • Managing appointment scheduling, calendar coordination, and meeting arrangements
  • Supporting tender-related activities including documentation, data compilation, coordination, and submission follow-ups
  • Handling urgent operational and administrative requirements assigned by management
  • Coordinating with clients, vendors, consultants, and internal departments for business support activities
  • Assisting in special projects, management support assignments, and ad-hoc coordination tasks
  • Maintaining records, trackers, reports, and administrative documentation
  • Ensuring timely communication and smooth execution of assigned operational activities.

KPI: Performance Metrics

  • Timely completion of administrative and operational tasks
  • Accuracy and quality of documentation and reporting
  • Effective coordination with internal and external stakeholders
  • Timely travel, appointment, and visa support execution
  • Ability to handle urgent and multiple assignments efficiently
  • Compliance with deadlines for tender submissions and management requirements

Required Skills

  • Strong administrative and coordination skills
  • Excellent communication and interpersonal abilities
  • Good knowledge of MS Office (Excel, Word, PowerPoint, Outlook)
  • Experience in documentation handling and scheduling coordination
  • Ability to multitask and manage priorities effectively
  • Strong organizational and follow-up skills

  • Exposure to tender documentation and submission processes
  • Experience in travel coordination and visa processing
  • Client coordination and stakeholder management experience
  • Basic reporting and MIS preparation skills
