Reports To: Service Manager
Work Location: Andheri
Workdays: Monday to Saturday with 2nd & 4th Saturdays off
Work Timing: 9am to 5.30 pm
Job Summary
The Service Coordinator is responsible for coordinating service operations, ensuring timely completion of service documentation, ERP updates, customer communication, contract management, inventory coordination, and billing processes. The role requires close coordination with service engineers, customers, finance, and stores to ensure smooth execution of Annual Maintenance Contracts (AMC), Defect Liability Period (DLP) contracts, and service activities.
Key Responsibilities
1. Customer Coordination & Contract Management
- Conduct call-back verification with customers before closing service requests.
- Submit AMC and DLP contract documents to customers in a timely manner.
- Send renewal reminders and contract conversion letters to customers as per schedule.
- Maintain proper records of customer communications and contract status.
2. ERP Management
- Follow up on all ERP service tickets until closure.
- Ensure handover jobs are completed and converted into active contracts in ERP.
- Update and maintain accurate service records in ERP.
- Upload all required service documents in ERP.
- Complete Sundry Booking and ensure timely closure of transactions in ERP.
3. Service Documentation
- Maintain complete documentation for service calls, contracts, and customer acknowledgements.
- Ensure all service-related documents are uploaded and archived accurately.
- Verify documentation before final service closure.
4. Purchase Request / Material Request (PR/MR) & Inventory Coordination with stores
- Follow up on pending Purchase Requests (PRs).
- Monitor service material consumption against budgeted costs.
- Coordinate with stores to maintain inventory accuracy.
- Support inventory reconciliation and consumption tracking.
5. Billing & Invoice Coordination
- Prepare service bills for completed jobs.
- Coordinate internal approval processes for invoices.
- Submit invoices to customers within the stipulated timeline.
- Obtain invoice submission acknowledgements and maintain proper records.
- Coordinate with finance for billing-related queries and documentation.
6. Service Operations Support
- Coordinate with service engineers regarding pending jobs and documentation.
- Ensure timely closure of service calls.
- Monitor service performance and pending activities.
- Support management with service reports and operational updates.
Required Qualifications
- Bachelor's Degree or Diploma in Business Administration, Engineering, or a related field.
- 2–5 years of experience in service coordination, customer support, or service administration.
- Experience working with ERP systems (SAP, Oracle, Microsoft Dynamics, or similar) is preferred.
Required Skills
- Strong coordination and organizational skills.

- Good knowledge of ERP systems and service documentation.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Attention to detail and documentation accuracy.
