Client Specialist

Job Description:

Role Summary

The Client Specialist owns the participant experience from the first enquiry through every session. The role is responsible for delivering exceptional client service, coordinating participant schedules, maintaining records, and ensuring a seamless experience for every participant at the centre.

KRA: Task / Activities

• Be the primary point of contact for participants and visitors across in-person, phone, and WhatsApp interactions.
• Welcome participants and ensure all session requirements are in place.
• Manage enquiries and follow up with prospective participants.
• Coordinate coaching sessions, appointments, and room bookings.
• Handle rescheduling requests and maintain participant attendance records.
• Resolve participant concerns with empathy and professionalism.
• Represent the brand in every client interaction.
• Support the team during high-traffic days and special sessions.

KPI: Performance Metrics

• Participant satisfaction.
• Timely coordination of sessions and appointments.
• Accuracy of attendance and participant records.
• Response and follow-up effectiveness.
• Resolution of participant concerns.

Desired Profile / Criteria / Skills :

Required Skills

• Fluent in English (spoken and written).
• Strong customer service and client relationship skills.
• Excellent communication skills.
• Good organizational and coordination abilities.
• Ability to handle multiple schedules and changing priorities.

Preferred skills

• Tamil and/or Hindi language proficiency.
• Experience using Scheduling or CRM tools.
