Job Description:
A Dispatch and Billing Officer manages the order-to-delivery lifecycle by processing customer invoices, preparing tax documents like e-way bills, and coordinating transport and logistics. This role bridges finance, sales, and warehouse teams to ensure accurate financial records and timely product shipments.
Core Responsibilities
Billing & Invoicing
- Generate accurate tax invoices, sales bills, and delivery challans.
- Verify pricing, quantities, discounts, and GST/tax compliance details.
- Reconcile billing discrepancies and assist with accounts receivable tracking.
- Maintain clean audit trails and financial documentation.
Dispatch & Logistics
- Coordinate daily vehicle movement, loading schedules, and transport tracking.
- Prepare weighment slips, gate passes, and mandatory e-way bills.
- Communicate with drivers, transport vendors, and warehouse staff.
- Monitor shipment status to ensure on-time delivery to clients.
Reporting & Communication
- Update ERP systems, MIS reports, and dispatch registers daily.
- Handle internal and external queries regarding order or payment status.
- Collaborate with sales and accounts teams to clear pending orders.
Key Requirements & Skills
- Education: High school diploma or a Bachelor's degree (b.com).
- Experience: 1 to 3 years in logistics, billing, or inventory documentation.
- Technical Skills: Proficiency in MS Excel and enterprise software (such as SAP, ERP, or industry-specific billing tools).
- Soft Skills: Strong attention to detail, problem-solving abilities, and cross-department communication.
