Job Description – Admin & Liaison Manager

Position: Admin & Government Liaison Manager
Department: Administration
Location: Segva, Gujarat

Reports To: Factory Head / Management

Job Time : 9:00 am to 6:00 pm

Job Summary

We are looking for an experienced Admin & Government Liaison Manager to manage the factory's day-to-day administrative operations and coordinate with government departments, local authorities, vendors, contractors, and external agencies. The candidate will be responsible for ensuring smooth factory administration, timely statutory documentation, licences, approvals, renewals, and government-related coordination.

Key Responsibilities

Factory Administration

  • Manage day-to-day administrative operations of the factory.

  • Oversee housekeeping, security, transportation, maintenance, utilities, and other facility-related activities.

  • Manage administrative vendors, contractors, and service providers.

  • Ensure proper maintenance of administrative records, registers, and documents.

  • Monitor factory infrastructure and coordinate timely repair and maintenance work.

Government Liaison & Statutory Coordination

  • Coordinate with GPCB, Factory Inspectorate, Labour Department, local authorities, Municipality/Panchayat, Electricity Department, Fire Department, and other applicable government departments.

  • Handle applications, renewals, permissions, licences, registrations, and approvals related to factory operations.

  • Follow up with government departments and authorities for pending approvals and statutory matters.

  • Maintain a tracker for licences, approvals, renewals, and statutory deadlines.

  • Coordinate with external consultants, legal advisors, and compliance agencies whenever required.

  • Coordinate and support government inspections and ensure required documents are available.

Labour & Compliance Support

  • Coordinate with HR regarding labour-related documentation and statutory requirements.

  • Assist in maintaining records related to contract labour, labour licences, registers, and other applicable requirements.

  • Support PF, ESIC, labour law, factory compliance, and other statutory activities as required.

  • Ensure administrative documentation is maintained properly for audits and inspections.

Security & Facility Management

  • Supervise security guards, housekeeping staff, and other support personnel.

  • Ensure proper visitor, vehicle, material entry/exit, and security procedures.

  • Coordinate with security and facility management agencies.

  • Monitor cleanliness, safety signage, utilities, and general upkeep of the factory premises.

Vendor & Administrative Management

  • Coordinate with vendors for security, housekeeping, maintenance, transportation, canteen, utilities, and other services.

  • Verify administrative bills and maintain supporting documentation.

  • Monitor administrative expenses and service contracts.

  • Negotiate with local vendors and service providers wherever required.

Local & Management Coordination

  • Maintain professional relationships with local authorities and service providers.

  • Handle local administrative issues and factory-related requirements.

  • Visit government offices and other locations as required for official work.

  • Provide regular updates to management regarding licences, approvals, inspections, and pending government matters.

  • Handle other administrative responsibilities assigned by management.

Required Skills & Qualifications

  • Graduate in Business Administration, Management, HR, or a related field.

  • 5–8 years of experience in factory administration, industrial administration, government liaison, or a similar role.

  • Strong experience in government liaison and factory-related statutory documentation.

  • Good knowledge of local government departments and approval processes.

  • Strong communication, coordination, negotiation, and follow-up skills.

  • Proficiency in MS Office and MS Excel.

  • Ability to independently manage multiple administrative and compliance-related activities.

  • Willingness to travel to government offices and other locations as required.

  • Good knowledge and professional network in Segva and nearby areas will be an advantage.

Preferred Candidate

The ideal candidate should be proactive, responsible, well-organized, and well-connected with local authorities, with strong experience in factory administration and government liaison. The candidate should be capable of independently managing administrative operations, government follow-ups, licences, approvals, inspections, vendors, and statutory documentation.
