About the Opportunity

Orbit Global HR Consultants LLP, a leading Jewellery Recruitment Agency and Executive Search firm in India, is hiring an experienced DGM – Purchase for a reputed jewellery organization in Calicut, Kerala.

The role is responsible for managing gold and diamond jewellery procurement, vendor development, central purchase operations, CTP coordination, barcode operations, production, melting, vendor payments and jewellery inventory-related activities.

This is a senior procurement position requiring strong knowledge of the gold jewellery industry, jewellery sourcing, vendor management, making charges, product quality, gold procurement and multi-location retail jewellery operations.

Key Responsibilities

1. Gold & Diamond Jewellery Purchase

• Manage procurement of gold and diamond ornaments according to business requirements.
• Ensure timely purchase and delivery of jewellery to respective retail stores.
• Plan purchases based on sales requirements, product trends and fund availability.
• Coordinate with internal teams to prioritize urgent jewellery requirements.
• Monitor purchase flow from vendor selection through delivery and payment.
• Ensure purchased jewellery meets required quality and commercial standards.

2. CTP / Central Purchase Operations

• Manage CTP-related purchase activities according to company policies and procedures.
• Release priority work instructions to concerned CTP teams.
• Coordinate with the CTP Committee for purchase and process approvals.
• Prepare agendas and reports for CTP Committee meetings.
• Track approvals, decisions and action points.
• Prepare monthly reports and coordinate incentive-related approvals.
• Monitor CTP funds and ensure effective utilization.

3. Jewellery Vendor Development & Management

• Identify and develop new jewellery vendors locally and outside Kerala.
• Build a strong network of reliable gold and jewellery manufacturers/suppliers.
• Evaluate vendors based on:
  • Product quality
  • Jewellery designs and trends
  • Making charges
  • Delivery capability
  • Service levels
  • Commercial terms
• Coordinate new vendor registration and approval.
• Prepare and process new vendor documentation.
• Maintain relationships with existing vendors.
• Monitor vendor performance, purchase flow, quality, delivery and payment coordination.
• Introduce new jewellery items through approved vendors.

4. Gold & Jewellery Vendor Payments

• Prepare RTGS payment schedules as per company procedures.
• Coordinate payment approvals with the CTP Committee.
• Submit approved payment schedules to the Finance Department.
• Coordinate with Sales & Marketing for required funds.
• Coordinate with CTP Managers regarding overdue vendor payments.
• Prepare fund utilization plans.
• Monitor vendor payments until credit is confirmed.
• Maintain master payment schedules and related records.

5. CDP Purchase Management

• Manage CDP purchase order approvals.
• Coordinate new and revised vendor MOU approvals.
• Obtain required approvals from the CTP Committee and management.
• Prepare vendor payment schedules.
• Coordinate with Finance for timely payment processing.

6. Gold Jewellery Barcoding

• Oversee gold jewellery barcoding operations.
• Ensure all jewellery products are barcoded according to approved making charges.
• Monitor daily barcode output and team productivity.
• Ensure barcode operations meet defined capacity and quality standards.
• Prepare monthly reports and coordinate incentive approvals.

7. Jewellery Production Coordination

• Coordinate with production units to ensure required production output.
• Monitor production based on metal availability and business requirements.
• Coordinate with the concerned CTP Committee and production teams.
• Monitor administrative and functional reporting.
• Support productivity and process improvement initiatives.

8. Gold Melting Operations

• Coordinate gold melting operations based on availability of old gold jewellery.
• Monitor production output from melting units.
• Coordinate with concerned departments for metal availability and utilization.
• Ensure appropriate administrative and functional reporting.
• Monitor productivity and process performance.

Branch & Unit Coordination

The DGM – Purchase will coordinate with various stores, CTPs, CDP and production/melting units.

Responsibilities may include planned visits to:

• Retail Jewellery Stores
• CTP locations
• CDP
• Production Units
• Jhanasree Unit
• Gold Melting Units

The role may also require participation in jewellery exhibitions, vendor meetings and industry events.

Jewellery Industry Events

The candidate may be required to participate in major gems and jewellery exhibitions and vendor meets, including events such as:

• IIJS Mumbai
• IIJS Signature
• UBM Chennai
• PMI
• D Show
• UBM Hyderabad
• GJIIF Chennai
• Kerala Gems & Jewellery exhibitions
• Outside vendor meets

The objective is to identify new suppliers, understand jewellery market trends, evaluate new products and strengthen the organization's vendor network.

Cross-Functional Coordination

The DGM – Purchase will work closely with:

Sales & Marketing | Finance & Accounts | Production | CTP | CDP | IT | Quality/Checking | Bullion Cutting | Stores | Senior Management

Key responsibilities include:

• Supporting urgent jewellery requirements from Sales.
• Coordinating funds for jewellery purchases.
• Coordinating with Finance for vendor payments.
• Coordinating with bullion cutting teams.
• Monitoring outstanding vendor payments.
• Working with IT on CTP software and system requirements.
• Coordinating with checking units for purchase data and analysis.
• Supporting management with purchase reports and MIS.

Gold Liability & Inventory Management

The role will also be responsible for monitoring gold jewellery liability and related purchase requirements as per management guidelines.
