Job Description:

Role Summary

The Shipping Documentation Executive will handle all export documentation and coordination for metal shipments, ensuring compliance with customs, banking, and export requirements. The role demands strong attention to detail, accuracy in documentation, and effective coordination with logistics partners and internal teams.

KRA: Task / Activities

  • Prepare and verify all pre-shipment and post-shipment export documents such as Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, and other required documents.
  • Ensure documents comply with buyer requirements and export procedures.
  • Coordinate with shipping lines, CHA, and freight forwarders for booking and dispatch.
  • Handle submission of required export documents to banks for payment realization.
  • Liaise with internal teams such as Sales, Accounts, and Production for shipment scheduling and readiness.
  • Maintain accurate documentation records and ensure compliance with DGFT and customs norms.
  • Track shipments and update clients and management on dispatch status.
  • Handle amendments and discrepancies in export documentation when required.

KPI: Performance Metrics

  • Accuracy and completeness of export documentation.
  • Timely submission of required export and bank documents.
  • Smooth coordination with shipping and logistics partners.
  • Compliance with export regulations and timelines.
Desired Profile / Criteria / Skills :

Required Skills

  • Strong knowledge of export documentation procedures.
  • Experience working with CHA, shipping lines, and freight forwarders.
  • Familiarity with INCOTERMS, DGFT, and customs procedures.
  • Good command over MS Office (Word, Excel, Outlook).
  • Shipping experience.
  • Knowledge of Debit/Credit Notes.
  • Contract handling.

Preferred skills

  • Experience in the metal export/trading or manufacturing industry.
  • Hands-on experience in EDI filing and export documentation portals.
  • Knowledge of banking documentation related to export transactions.
