Job Purpose

To support the Accounts & Finance function by maintaining accurate financial records, processing accounting documentation, assisting with bank entries and reconciliations, preparing monthly statements, and coordinating with internal teams for timely completion of accounting and administrative activities.

Key Responsibilities

1. Documentation & Accounting Entries

• Monitor emails for contract notes, financial documents, and accounting-related communications.
• Download, verify, organize, and maintain contract notes and supporting documents.
• Make necessary accounting/data entries based on the documents received.
• Ensure proper filing and easy retrieval of financial records.

2. Financial Reports & Statements

• Monitor emails and maintain records of annual reports and other financial statements received from various entities.
• Prepare and maintain dividend-related sheets and compile relevant financial intimations.
• Prepare monthly holding statements and other financial reports using Excel.
• Ensure accuracy and completeness of data before submission to the reporting manager.

3. Bank Entries & Reconciliation

• Assist in recording bank transactions and maintaining bank entries.
• Assist with preparation of bank reconciliation statements.
• Identify unmatched or outstanding entries and coordinate for necessary clarification and resolution.
• Maintain proper supporting documents for bank and accounting transactions.

4. Share & Financial Data

• Compile and verify share-related data for accounting purposes.
• Ensure all relevant transactions and supporting information are complete before finalizing data for accounting.
• Maintain accurate records of shares and related financial transactions.
• Assist the Accounts team in preparing information required for audits and reporting.

5. Excel & MIS

• Prepare monthly holding statements and other MIS reports in Excel.
• Maintain financial data and records in structured Excel formats.
• Perform data checking, reconciliation, and validation before final submission.
• Support management with reports and information as required.

6. General Accounts & Office Support

• Assist with day-to-day accounting activities.
• Support documentation, filing, data entry, and record maintenance.
• Provide assistance during internal/external audits by arranging required documents.
• Coordinate with internal departments for accounting-related information.
• Perform other accounting and administrative duties assigned by the reporting manager.

Required Skills

• Good working knowledge of MS Excel.
• Basic knowledge of accounting and bookkeeping.
• Good numerical and analytical skills.
• Strong attention to detail and accuracy.
• Good documentation and record-management skills.

Qualification & Experience

• Com / M.Com / equivalent qualificationpreferred.
• 1–3 years of experience in Accounts/Finance.
• Experience in the shipping, maritime, logistics, or related industrywill be an advantage.
• Working knowledge of accounting software/ERP will be preferred.
