Job Description – Facility Manager

  1. Purpose of Role

To supervise and manage the day-to-day facility operations of the residential project, ensuring smooth functioning and upkeep of all common areas, utilities and essential services. The role is responsible
for proactively identifying, mitigating and resolving operational and resident-related issues; managing facility vendors; supporting possession activities; and ensuring timely attention to property tax,
vendor (MSEB/MSEDCL, Housekeeping, Security) billing, water supply, NOCs and facility documentation.

2. Key Accountabilities

2.1 Residential Facility Operations
• Supervise day-to-day facility operations across all three residential towers, common areas and essential services.
• Conduct regular site inspections and proactively identify and resolve maintenance, safety and operational issues.
• Ensure preventive and breakdown maintenance is completed on time and issues are followed through to closure.
2.2 Resident Issue Resolution
• Address facility-related resident concerns and coordinate with internal teams/vendors for timely resolution.
• Identify root causes of recurring issues and implement appropriate preventive or corrective actions.
• Escalate critical matters to the Project Head with actions taken and recommended solutions.
2.3 Vendor & Utility Management
• Manage and supervise housekeeping, security, water tanker and other facility service vendors, ensuring adequate manpower deployment, service quality, discipline and adherence to agreed scope of work.
• Ensure uninterrupted water and electricity services by monitoring water availability, tanker supply, consumption, MSEB/MSEDCL supply, billing and meter-related requirements.
• Monitor vendor performance, utility consumption, shortages, wastage, billing discrepancies and service issues, and ensure timely corrective action and resolution.
• Maintain appropriate vendor and utility records, verify services/bills and coordinate with relevant internal teams for timely processing and closure of pending matters.
2.4 Property-Related Requirements & Compliance
• Track property tax bills, due dates and supporting documentation.
• Coordinate timely processing of applicable property tax requirements.
• Identify and resolve discrepancies, documentation gaps and pending matters.

2.5 NOCs, Certificates & Facility Documentation
• Maintain and monitor applicable NOCs, certificates, renewals and facility-related statutory documentation.
• Initiate renewal/documentation requirements in advance and coordinate with relevant stakeholders.
• Escalate potential expiry, non-compliance or documentation gaps proactively.

2.6 Possession & Handover Support
• Coordinate facility-related activities and documentation for customer possession and property handover.
• Work with Projects, CRM and relevant teams to ensure possession readiness and smooth resident transition.
• Track facility-related snags and pending matters through timely closure.
2.7 Technical & Preventive Maintenance
• Monitor preventive and breakdown maintenance of electrical, plumbing, pumps, lifts, fire-fighting, DG, water and other applicable building systems.
• Ensure preventive maintenance schedules are followed and coordinate with AMC/service vendors.
• Identify recurring breakdowns and ensure appropriate corrective action and closure.
2.8 Safety, Security & Property Upkeep
• Ensure proper upkeep, cleanliness, security and safety of common areas and shared facilities.
• Monitor applicable fire, life-safety and site safety requirements.
• Identify unsafe conditions and ensure timely corrective action.
2.9 MIS, Documentation & Reporting
• Maintain accurate records and trackers covering maintenance, complaints, vendors, utilities,
property tax, NOCs and possession matters.
• Prepare periodic Facility Management MIS covering completed, pending and critical issues.
• Highlight recurring problems, operational risks and vendor concerns with recommended corrective actions.
2.10 Reporting & Cross-Functional Coordination
• Report to the Project Head on facility operations, critical issues, resident concerns and vendor performance.
• Coordinate with Projects, CRM, Finance/Accounts and other relevant teams for timely resolution of cross-functional matters.
• Maintain ownership and follow-through until assigned issues are resolved and formally closed.

Utilities & Property Matters Timely handling of MSEB/MSEDCL billing, water requirements, property tax and related operational matters.

NOCs & Documentation Timely tracking/renewal of applicable NOCs, certificates and facility records.

Possession Support Timely completion of facility-related possession requirements and closure of identified snags.

Property Upkeep & Safety Consistent upkeep of common areas and timely closure of safety and operational observations.

4. Candidate Profile
4.1 Experience :
• 3–5 years of relevant experience in Facility Management / Residential Property Management, with hands-on residential project experience mandatory.
• Experience in managing outsourced facility vendors, including housekeeping, security and other essential services, along with handling resident concerns and ensuring timely issue resolution.
• Practical exposure to building maintenance, utilities, common-area operations, property tax, MSEB/MSEDCL billing, water management, NOCs and possession/handover documentation.
4.2 Educational Qualification :
• Graduate in Facility Management or equivalent qualification.
• Good written and verbal communication skills.
• Relevant technical, facility-management or property-management certification will be an added advantage.
• Ability to read, understand and prepare customer-related documentation accurately.
