Role Description
The Administration Officer will be responsible for managing day-to-day administrative operations, facility and property management, lease administration, maintenance coordination, and security oversight across office locations, leased properties, and redevelopment projects. The role requires strong discipline in documentation, reporting, and system-based record management as a core business requirement.

Key Responsibilities

1. Office & Facility Management
● Oversee daily office operations, including housekeeping, asset upkeep, and workplace hygiene.
● Coordinate routine maintenance, minor civil and electrical repairs, and office renovations.
● Manage Annual Maintenance Contracts (AMCs) and ensure workplace safety, statutory compliance, and operational readiness.

2. Property & Lease Management
● Maintain accurate records for owned and leased properties, including rent schedules and renewal timelines.
● Draft, renew, and manage lease agreements and related legal documentation in coordination with internal and external stakeholders.
● Monitor upkeep, utilities, and services across all company properties.

3. Security Management
● Supervise security operations across offices and redevelopment project sites.
● Coordinate with security agencies for deployment planning, attendance monitoring, and adherence to site protocols.
● Manage visitor access control, CCTV monitoring, incident reporting, and liaison with local police authorities when required.

4. Government & Local Authority Liaison
● Coordinate with MCGM, Police Department, Fire Department, and other statutory bodies for approvals, licenses, and NOCs.
● Represent the organization during inspections and ensure compliance with applicable local rules and regulations.

5. Vendor & Contractor Coordination
● Identify, evaluate, and onboard vendors and contractors for facility and maintenance services.
● Review quotations, recommend vendors, and issue work orders in line with company procedures.
● Monitor execution to ensure timely completion, quality standards, and cost control.

6. Documentation, Reporting & Systems (Mandatory Business Requirement)
● Maintain structured documentation related to properties, leases, utilities, vendors, security, and maintenance activities.
● Prepare and submit daily, weekly, and monthly administrative, maintenance, and security reports to management.
● Ensure timely and accurate updating of ERP / CRM / internal management systems for all administrative and property-related activities.
● Support internal and external audits by ensuring availability, accuracy, and traceability of records and compliance documentation.
● Adhere strictly to document control and digital record management protocols.

Qualifications & Skills
● Bachelor’s degree.
● 5–8 years of relevant experience in administration, property management, or facility operations.
● Sound understanding of lease documentation, property registration processes, and statutory compliance requirements.
● Proven experience in managing vendors, contractors, and security service providers.
● Strong communication and liaison skills with government bodies and external agencies.
● Proficiency in MS Word, Excel, PowerPoint, and digital document management (Google Drive or equivalent systems).
● Ability to work on ERP / CRM platforms as part of daily responsibilities.
● High integrity, problem-solving orientation, and strong attention to detail.
