Order Processing Executive

Job Description:

Role Summary

The Order Processing Executive is responsible for managing end-to-end order processing, ensuring accurate order entry, timely coordination with internal teams, and seamless delivery to dealers. This role acts as the central communication link between dealers, sales, and warehouse teams.

KRA: Task / Activities

Order Receiving

• Receive orders through multiple channels:
• – Office WhatsApp– Office mobile calls– Office landline– Sales team– Walk-in dealers
• Ensure every order is clearly recorded and acknowledged
• Maintain proper tracking of all incoming orders

Order Processing

• Coordinate with billing team for order entry in Tally
• Verify product details including item, quantity, and schemes
• Check stock availability before processing
• Immediately inform relevant teams in case of stock shortages

Warehouse Coordination

• Share clear and accurate order details with warehouse team
• Ensure correct picking and packing of materials
• Coordinate timely dispatch of orders

Dealer Communication

• Confirm orders with dealers when required
• Communicate stock shortages or delays
• Provide dispatch updates and delivery status

Daily Reporting (Before 9 PM)

• Orders Received
• Orders Processed
• Pending Orders
• Stock Shortage Items
• Any Issues / Escalations

KPI: Performance Metrics

• Order accuracy rate (%)
• Order processing turnaround time
• On-time dispatch rate
• Error/complaint reduction rate
• Dealer satisfaction score

Desired Profile / Criteria / Skills :

Required Skills

• Strong data entry and computer skills (MS Excel, ERP systems)
• Good communication and coordination skills
• Attention to detail and accuracy
• Basic understanding of supply chain/order flow
• Ability to multitask and prioritize work

Preferred skills

• Experience in FMCG or distribution industry
• Familiarity with inventory management systems
• Knowledge of billing/invoicing processes
