Job Title: Operations Executive – Filing & Vendor Management
Department: Operations / Administrative Support

Job Purpose
The Operations Executive will handle the end-to-end documentation, regulatory and internal filing, and day-to-day coordination with external vendors (such as surveyors, garages, hospitals, courier services, and document storage facilities) to ensure smooth business operations.
Key Responsibilities
- Filing & Documentation Management
- Organize and maintain physical and digital records of insurance policies, claims files, and customer KYC documents.
- Execute timely filing of regulatory documents, compliance reports, and internal audit paperwork.
- Retrieve and track files requested by the claims, underwriting, or legal teams.
- Ensure data accuracy by updating the internal insurance management software (core system) regularly.
- Vendor Coordination & Management
- Act as the primary point of contact for operational vendors (e.g., third-party administrators, regional surveyors, printing vendors).
- Track vendor performance against service level agreements (SLAs) regarding timelines and quality.
- Process vendor invoices by verifying work completion, cross-checking rates, and coordinating with the finance team for timely payouts.
- Onboard new vendors by collecting necessary empanelment documents and maintaining an updated vendor database.
- Reporting & General Support
- Prepare weekly/monthly MIS reports tracking pending filings, outstanding vendor payments, and SLA breaches.
- Assist the operations manager with ad-hoc administrative tasks as required.
Requirements & Qualifications
- Education: Graduate in any stream (Commerce or Business Administration preferred).
- Experience: Minimum 1 year of experience in a general insurance company, broking firm, or TPA.
- Technical Skills:
- Proficiency in MS Excel (VLOOKUP, Pivot Tables) and MS Word.
- Experience working with insurance portals or CRM software is a plus.
- Soft Skills:
- Strong organizational and time-management abilities.
- Clear verbal and written communication skills for vendor negotiation.
- High attention to detail to avoid documentation errors.
