About the Assistant Manager – HR Role

The Assistant Manager – HR will be responsible for managing day-to-day HR operations and supporting the organisation across the complete employee lifecycle.

The successful candidate will work closely with management, employees, recruitment partners and other stakeholders to ensure effective implementation of HR policies, recruitment processes, employee engagement initiatives, payroll support, training, employee records and HR administration.

Candidates with experience in engineering, manufacturing or other structured organisations will be preferred.


Key Responsibilities

1. Talent Acquisition & Recruitment

  • Manage end-to-end recruitment and talent acquisition activities.
  • Understand manpower requirements and coordinate with hiring managers.
  • Source candidates through job portals, professional networks, recruitment agencies and headhunters.
  • Review resumes and applications against job requirements.
  • Conduct initial screening and recruitment interviews.
  • Coordinate interview schedules with candidates and management.
  • Maintain recruitment trackers and candidate databases.
  • Coordinate with recruitment agencies for specialised and critical positions.
  • Ensure timely closure of open positions.
  • Coordinate documentation and pre-joining formalities.

2. Employee Onboarding

  • Manage the complete employee onboarding process.
  • Coordinate joining formalities and documentation.
  • Conduct employee orientation and induction programmes.
  • Ensure new employees understand organisational policies and procedures.
  • Coordinate with relevant departments for workstation, access, assets and other joining requirements.
  • Maintain accurate employee joining records.

3. HR Operations & Employee Records

  • Manage and maintain HR records and employee documentation.
  • Maintain employee personal files and HR databases.
  • Regularly update the employee master database.
  • Maintain records related to attendance, leave, salary, increments and employee benefits.
  • Ensure HR documentation is accurate, updated and properly maintained.
  • Support implementation and regular updating of HR processes, policies, rules and procedures.

4. Payroll Support

  • Provide HR support for monthly payroll processing.
  • Coordinate attendance, leave and payroll-related inputs.
  • Verify employee information required for salary processing.
  • Coordinate salary slips and payroll documentation.
  • Support processing of:
    • Salary
    • Bonus
    • Increment revisions
    • Leave encashment
    • Full & final settlements
  • Coordinate with payroll/finance teams to ensure timely processing.

5. Attendance & Leave Management

  • Monitor employee attendance and punctuality.
  • Maintain attendance records.
  • Coordinate leave records and approvals.
  • Identify attendance-related issues and coordinate with managers for resolution.
  • Provide attendance inputs for payroll processing.

6. Employee Relations & Grievance Handling

  • Act as an HR point of contact for employees.
  • Address employee queries and HR-related concerns.
  • Handle employee grievances professionally and confidentially.
  • Coordinate with management to resolve workplace issues.
  • Promote positive employee relations and effective communication.

7. Training & Employee Development

  • Identify training and development requirements.
  • Coordinate training programmes for new and existing employees.
  • Support employee orientation and induction programmes.
  • Organise employee development initiatives.
  • Facilitate continuous learning and professional development.
  • Maintain training records and participation data.

8. Employee Engagement & Welfare

  • Initiate and coordinate employee engagement activities.
  • Support employee welfare programmes and initiatives.
  • Coordinate activities designed to improve employee experience.
  • Gather employee feedback and communicate relevant concerns to management.
  • Support a positive and productive workplace environment.

9. Exit Management & Full & Final Settlement

  • Manage the complete employee exit process.
  • Coordinate resignation and separation documentation.
  • Conduct or coordinate exit interviews where required.
  • Coordinate clearance processes with relevant departments.
  • Prepare and process full & final settlement inputs.
  • Ensure timely completion of exit formalities.
  • Maintain accurate records of separated employees.

10. Asset Management

  • Coordinate employee asset allocation and records.
  • Maintain records of assets issued to employees.
  • Coordinate asset recovery during employee separation.
  • Update HR/asset databases regularly.
  • Work with administration and IT teams regarding employee assets.

11. HR Policy & Process Management

  • Support implementation of HR policies and procedures.
  • Regularly review and update HR processes as required.
  • Ensure employees are informed about relevant HR policies and procedures.
  • Maintain HR documentation and process records.
  • Support management in implementing HR initiatives.

12. General HR & Administration Support

  • Provide day-to-day HR and administrative support.
  • Coordinate with management and department heads on HR matters.
  • Prepare HR reports and management information as required.
  • Maintain HR trackers and databases.
  • Support general administrative activities related to employees and the workplace.

Candidate Requirements

Educational Qualification

  • Graduate from a recognised university.
  • Candidates with relevant HR qualifications or certifications will be an advantage.

Experience

  • 8+ years of HR experience.
  • Strong experience in generalist HR and HR operations.
  • Experience in a small to medium-sized organisation preferred.
  • Experience in an engineering or manufacturing company will be an advantage.
  • Candidates should have hands-on exposure to multiple HR functions rather than experience limited to recruitment alone.
