Job Description:
A Purchase Assistant job description involves supporting procurement by processing orders, managing inventory, researching vendors, and ensuring timely, cost-effective delivery of goods/services, handling admin tasks like tracking, reporting, and resolving discrepancies while building supplier relationships and ensuring compliance with company policy, often working under a buyer or manager. 
 
Key Responsibilities:
      • Procurement & Ordering: Enter purchase orders, process requisitions, track shipments, and confirm orders.
      • Inventory Management: Monitor stock levels, identify needs, and help maintain optimal inventory.
      • Vendor Management: Research and evaluate suppliers, negotiate prices, build relationships, and resolve issues.

 

  • Data & Reporting: Maintain purchasing records, update databases, compare prices, and prepare reports.
  • Administrative Support: Handle paperwork, spreadsheets, and other tasks to keep the department running smoothly. 

 

 
Essential Skills & Qualifications:
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with MS Office and ERP systems.
  • Attention to detail.
  • Ability to work with suppliers and internal teams.
  • Often requires a High School diploma, with some companies preferring a degree. 

 

 
Typical Duties in Action:
  • You might research new vendors for better pricing.
  • You'd enter a PO into the system and follow up with the supplier.
  • You'd check incoming deliveries against the order to ensure accuracy.
  • You'd help resolve a problem when a shipment is late or incorrect.
