Job Description:
1. Joining Formalities
1.1 Make comfort call before joining. Confirm timings, bus stop and driver detail and vehicle
number.
1.2 Inform security to provide guidance to settled in admin block (Security will allowed there
documents and belongings except gadgets.
1.3 Inform receptionist to provide required joining forms to new joinee. Receptionist will issue
refreshment coupons and guide the way of canteen.
1.4 After filling the forms receptionist called in HR department for the verification and create
personnel file.
1.5 Prepare induction form for new joinee.
1.6 Generate welcome note for new joinee.
1.7 Complete formalities of signature log as well as ID card register.
1.8 Handover Joining kit.
2. Training Programme
2.1 Assist HOD – HR to develop and Implement the training infrastructure & prepare require
document for all HR related SOP based training and external cross departmental trainings.
2.2 Arrange list of participants conform timings and arrange refreshments.
2.3 Smooth implementation and training to all personnel concerned for the systems like HRMS.
3. Ensure proper Time Keeping & Leaves.
3.1 Maintain leave records as per HR Manual and to ensure to collect leave forms monthly.
3.2 To update leave record of each individual month.
3.3 To ensure and effectiveness of time keeping system Daily.
3.4 Mark their leaves of half day, Early Going and Late coming in attendance sheet.
3.5 Proper maintaining of leave records of all the employees with leave forms duly approved by
HOD.
3.6 If an advance leaves of 2 or more days then CL / PL form to be submitted well in advance and
in case of SL immediately after resuming back.
3.7 Tally the record with biometric system of prior day and inform ambiguity to HOD by mail.
3.8 Ensure that shift schedule should be uploaded by respective HOD.
4. Pay Roll and Preparation of Wages & Salary.
4.1 Prepare wage sheet as per the attendance sheet daily basis also update legal forms of
personnel likewise leaves, OT, C/off, W/off change, outside duty etc.
4.2 To ensure to get overtime slips from departments on daily basis with approval.
4.3 After complete the wage sheet of employees as well as apprentice submit same to the HOD-
HR on every 2 nd of the each month.
4.4 Prepare the Bonus sheet as well as PL sheet monthly basis.
4.5 Update deductions likewise canteen deduction, Uniform, GLWF, EPF, Advance loan, TDS,
Professional tax and any other previous month adjustment if required.
4.6 Prepare full & final settlement of personnel’s who leave the organization.
5. Day to Day Admin Activity.
5.1 Assist HR-HOD in day to day activities of Administrator like Pest control, Security, Canteen,
Travelling facilities etc.
6. New Welfare Scheme and Motivational activity
6.1 Assist HOD – HR in developing welfare and Motivation activities in the company as per list(
Format no.___).
6.2 Assist-HOD for organize “Happy hour event” on twice a month.
6.3 Send birthday wishing mail.
7. Performance Appraisal & Reward system
7.1 Assist HOD – HR for performance Appraisal and feedback for each employees of Dept. as per
planned.
7.2 Ensure to collect Appraisal form for confirmation as per planned.
7.3 To release confirmation letter/offer letter/ appointment letters
8. MIS report
8.1 Compile monthly MIS of all the departments and keep it ready for presentation every 7th day of
the month and submit to HOD-HR.
8.2 Prepare overtime trend analysis and submit to HOD-HR.
8.3 Prepare Daily MIS for the Dahej unit-II.
8.4 Monitor attrition rate as well as absenteeism and submit to HOD-HR.
9. Communication
9.1 To maintain openness and transparency in the organization, also responsible to see that
employee grievances are managed as per the policy and manage discipline in the Department.
10. Cost Saving.
10.1 Responsible to maintain and effective usage of all equipment’s of the Dept.
10.2 Ensuring cost saving measures are implemented at the dept. and reducing the wastage.
