Job Description:

*Job Overview*:
We are seeking a detail-oriented and organized Back Office Billing and Quotation Specialist with 2-3 years of experience in a similar role. The ideal candidate will possess expertise in handling billing, quotations, and purchase orders, alongside proficiency in accounting software such as Tally. This role is vital for ensuring smooth operational workflow and timely, accurate processing of transactions in our small trading firm. Strong communication skills and a solid understanding of back office functions are key.

*Key Responsibilities*:
- *Billing*: Prepare and process invoices accurately and on time based on customer orders. Ensure all billing details are correct, including pricing, quantities, and payment terms.
- *Quotations*: Generate quotations for customers based on their requirements. Communicate effectively to clarify customer needs and provide accurate, competitive pricing.
- *Purchase Orders*: Manage and track purchase orders to ensure timely delivery of products. Coordinate with suppliers and vendors to verify order details, prices, and delivery schedules.
- *Tally Accounting*: Maintain accurate records of financial transactions in Tally, including purchase orders, sales, payments, and receipts. Ensure timely reconciliation of accounts and resolve any discrepancies.
- *Documentation & Record Keeping*: Maintain organized records for all financial documents, quotations, purchase orders, and invoices. Ensure documents are easily accessible and compliant with company policies.
- *Customer and Vendor Coordination*: Liaise with customers and vendors to address queries related to orders, payments, and invoices. Provide excellent customer service and resolve issues promptly.

 

 

 

*Required Skills and Qualifications*:
- 2-3 years of experience in back office operations, billing, and quotations in a trading or related industry.
- Proficiency in Tally or similar accounting software.
- Strong knowledge of billing procedures, purchase orders, and invoicing.
- Proficient in written and spoken English.
- Excellent attention to detail with a high level of accuracy.
- Strong organizational and time management skills.
- Ability to handle multiple tasks and prioritize effectively.
- Good communication skills and the ability to work collaboratively in a small team environment.

*Desirable Skills*:
- Basic knowledge of GST and other tax-related processes.
- Experience in handling procurement and vendor relations.
- Knowledge of MS Excel and other office software.
