Officer - Dispatch
Job Description:
1.0 Packing Activities.
1.1 Packing as per order given by marketing team.
1.2 Ensure Grade wise packing.
1.3 Take packing material for packing which is approved by QA and QC.
2.0 Supervision and Coordination of Shipment.
2.1 Confirm shipment.
2.2 Confirm requirement of packing type.
2.2.1 Ensure availability or minimum stock of packing material which is required.
2.2.2 Place indent of require packing material.
2.2.3 Follow up indented material.
2.2.4 Receiving of material from store dept.
2.3 Pallet preparation or packing preparation of shipment.
3.0 Inspection of Final product.
3.1 Get approval from Q.C dept. of final products according to specification.
3.2 Rejected material to be return to production dept. with proper accounting as and when demanded by production dept.
4.0 Packing material observation.
4.1 Select type of packing to be done.
4.2 Inspect packing material visually and physically.
Visually: 1) Colour.
2) Cleanliness.
3) Condition of packing material.
4) Smell
Physically: 1) strength of packing material
2) Drop down test. 5.0 Operation of Packing Machinery
5.1 Start the packing machinery and adjust as per requirement.
5.2 Measure problems as minor or major.
5.3 Inform maintenance department by job card
5.3 Ensure preventive maintenance to be done by concern dept.
6.0 Training
6.1 Organize training twice in month for whole department as per schedule.
6.1.1 Store Hygiene: Housekeeping, safety appliances.
6.1.2 Machine operation.
6.1.3 Dispatch preparation: Pallet preparation, container cleaning and loading.
7.0 Dispatch Planning.
7.1 Receiving dispatch schedule from marketing team.
7.2 Production and packing planning with Production manager.
7.3 Planning with internal department regarding action plan of packing activities.
7.4 Ensure packing as per party requirement.
7.5 Dispatch of final product as per order date.
7.6 To confirm dispatch to marketing team.
7.7 To allocate the material shipment wise, after checking result of QC & Micro.
7.8 For dispatch to Pirana plant all coordination to be done with Pirana plant with proper details and e-mail.
8.0 Utilization of manpower against production.
8.1 Manage 15 helpers for 20.0mt production per day and 40.0mt dispatch per day.
8.2 Divide team for different works like packing work, stacking work, dispatch preparation work.
8.3 Supervision of work done by manpower.
9.0 Stacking and Tagging.
9.1 Grade wise Segregation of final product.
9.2 Final Products should be stack below to stack limit which defined in F.G Store.
9.3 Packing material and final products should be stack away from wall.
9.4 Tagging the final product and packaging material with proper details.
10.0 Final product stock.
10.1 Updating of Final product on daily basis and monthly basis.
10.2 Maintain minimum stock of final products.
10.3 To take physical stock of FG Material twice in the month & ensure on 1st of next month, to ensure no discrepancies are found in Stock.
10.4 To prepare stock statement on monthly basis.
11.0 Documentation
11.1 Maintain document online as per ISO requirement and validation on regular basis.
11.2 Ensure document filled online and without any deviation.
12.0 Maintain ERP.
12.1 To Prepare PR for required material for packing & dispatch.
12.2 To ensure entry are made in ERP on daily basis of BMR.
12.3 To make all the necessary entries in ERP which is required for packing.
13.0 Prepare MIS on daily and monthly.
13.1 To Prepare daily MIS & mail to all concerns at 16.00Hrs
13.2 To Prepare Monthly Presentation before 5th of every Month.
14.0 Communication.
14.1 Acknowledge of mail / message in 2 Hrs. from received.
14.2 To attend all the meetings with proper data in absence of Packing Head.
15.0 Cost saving.
15.1 Save the cost of packing material at 2 %, compared with last six month data.
16.0 Maintain and Support food safety activity plant.
16.1 Maintain food safety objectives which given by FSMS team.
16.2 Maintain guide line of FSMS team as routine practice.
