Job Description:

We are currently seeking a reliable and professional Receptionist to join our team at a Steel Trading Company. The Receptionist will be responsible for managing the front desk operations, providing administrative support, and offering exceptional customer service to clients, suppliers, and employees within the steel trading industry. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.

 

Key Responsibilities:

Front Desk Management:

  • Welcome visitors, clients, and suppliers in a courteous and professional manner.
  • Answer and direct incoming calls to the appropriate departments or individuals.
  • Manage inquiries from clients and suppliers regarding orders, deliveries, and general information about the company's products and services.
  • Maintain a tidy and organized reception area, ensuring it represents the professional image of the steel trading company.

Administrative Support:

  • Assist with general administrative tasks, including filing, data entry, and document management.
  • Coordinate and schedule meetings, appointments, and conference room reservations as needed.
  • Handle incoming and outgoing mail, packages, and courier deliveries.
  • Assist with the preparation of reports, presentations, and correspondence as requested by management.

Customer Service:

  • Provide excellent customer service to clients and suppliers, addressing their inquiries and concerns promptly and professionally.
  • Serve as a liaison between clients, suppliers, and internal departments to ensure effective communication and resolution of issues.
  • Maintain accurate records of client interactions and communications for reference and follow-up.

Office Operations:

  • Monitor and replenish office supplies inventory, placing orders as needed to ensure smooth operations.
  • Coordinate with maintenance staff for any office repairs or maintenance requirements.
  • Assist with the coordination of office events, meetings, and special projects as needed.

 

Qualifications:

  • Any graduation ; additional certification in office administration or related field is a plus.
  • Proven experience as a Receptionist, Front Desk Representative, or similar role, preferably within the steel trading or manufacturing industry.
  • Excellent verbal and written communication skills, with a professional and courteous demeanour.
  • Strong organizational skills and the ability to prioritize tasks effectively..
  • Ability to maintain confidentiality and handle.
