Job Description:
KEY RESPONSIBILITIES:
- Acting as a single administrative point of contact between the executives and all HO
- Acting as info-hub for providing administration related information and supervising administrative activities like general admin petty cash handling, courier, florist, pest control, housekeeping, Pantry, safety and security, etc.
- Liasioning and coordinating with various departments within the corporate office, branch offices and Birkoni Plant.
- Upkeep of office administrative facilities and ensure availability of daily miscellaneous requirements to provide harmonious work culture to employees.
- Ensure properly maintain Covid-19 protocol and guidelines inside the office facility.
- Ensure properly maintain weekly deep sanitizing inside the office
- Ensure properly maintain employee policies and office decorum in the
- Office Event Management, organize meetings, conferences as and when required
- Travel & Hotel arrangements for
- Manage vehicle and driver arrangement according to office staff and guest
- End to end Guest House Management
- Ensure timely payment of all Landline, Mobile, Wifi bills after proper checking and verification with maintain proper record.
- Managing Front Office / Reception/Courier services/Vendors
- Specialization in handling back office operations, inter-office correspondence, confidential mails, quotations, monthly billing, cheques, etc.
- Ensure timely payment of mobile bills of President
- Ensure running smooth operations of Security and Surveillance, CCTV Cameras at HO and President Sir residence (Bunglow-C-9).
- Responsible for arrange Laptop, Desktop, Mobile Phone, SIM Card, Visiting Card, stationary items
for new employee and others.
- Ensure properly maintain the office parking
- Ensure properly maintain internal office Daak
- Handling and managing team of MIL field staff (Manish, Jageshwar & Manish)
- Organize and schedule appointments and meetings
- Maintain and update HO employee contact lists with intercom, mobile no., landline no., mail id
- Maintain and update list of company Mobile phone, Laptop, Sim Card,
- Maintain and update all MIL WhatsApp groups (Add/remove members)
- Managing repair, maintenance & replacement of office equipment, appliances, furniture, furnishings, office building, electronics & electrical items, Air Conditioners, Landline Phone, Internet, WiFi, hygiene, water, electricity, etc.
- Managing on time Vendor Payment
- Inventory and timely purchase management of Stationary, Kitchen items,
- Scheduling company calendar and updating as needed
- Produce and distribute correspondence memos, letters, faxes, and forms
- Develop administrative staff by providing internal training &
- Manage ground staff appointments of Drivers, Cook, Sweeper, Office Boy, Maid, Peon, Gardener, and also supervise their work performance.
