Roles & responsibilities: 1. Communicating courteously with customers by telephone, email, letter and face to face. 2. Leading or supervising the Customer experiences. 3. Proper knowledge of Clinic’s products and services and keeping up to date with changes. 4. Develop new customer relationships for Business Development. 5. Generation and management of leads received from various sources. 6. Call leads and explain about the services offered by UBEAU 7. Book appointments for qualified leads and take booking amount online, also, attend in-bound calls and book appointments as per time slots available 8. Reminder calls for appointments and payments can take support from operations manager. 9. Prepare appointment schedule and assign therapists according to time slots. 10. Meet and greet all clients upon arrival and departure. 11. Offer them water/ refreshments within 5 mins. of arrival- instruction to be given to the Pantry Hostess. 12. Welcoming the customers standing up with a warm smile and asking them what services they need. 13. Providing brief introduction about the services offered at UBEAU. 14. Registering new clients online/ offline with patient intake form and updating database of clients/ patients also collecting registration fee at the time of booking appointment 15. Engaging clients at the lounge by various means (books, therapy literature, etc.) available at the clinic. 16. Oversee/ Maintain client records of service package and update package payment Schedules (taken and balance) and making reminder/follow up calls as and when required along with CRM 17. Communicating the Registration. Billing and payment schedule. 18. Ensure timely collection of payment / balance payment before providing services to clients on first time/ follow-up visits. 19. Ensures that all the facilities are available to the guests. 20. Assigning Tasks to therapists as per their expertise and client’s preference and as per their specialization. 21. Coordination for consultation with Doctor/s or Senior Therapist/ Cosmetologist after understanding the requirement from the client/ patient 22. De-brief the prescription and inform clients about price and packages. 23. Creating the packages and explain the therapies to the clients. 24. Providing help and advice to customers for using Clinic’s products or services. 25. Inform about various services/ offers/ schemes/ promotions/ packages offered by UBEAU. 26. Notify the Therapist about the services/ procedure to be done on a particular client. 27. Coordinate with therapists/ nurses to ensure consistent service and also keep a tab on time slots allocated to the client. 28. Facilitating Operations Manager with inputs on preparation of Invoice and bills as per services communicated to the client. 29. Creating the packages and explain the therapies to the clients. Selling products along with services as per the targets assigned. 30. Taking client testimonial and feedback in Visitors Book and Google sheets respectively. 31. Take on-spot Google Reviews and resolve concerns if any before the client exits the clinic 32. Plan and coordinate all promotional activities targeting clients. 33. Communication to clients about events and promotions of UBEAU. (especially WhatsApp) 34. Communication to all clients on their special occasions and festivals. 35. Communication/ reply clients on social media- FB, Instagram and other social media platforms within 24 hours of prompt. 36. Address customer dissatisfaction/ concerns promptly. 37. To give compiled daily report of customer feedback and action taken to resolve their concerns. 38. Submit daily sales report to the management after closure of all therapies. 39. Taking physical stock of the products weekly and submit report every Monday. 40. Maintenance of client history in CRM software. 41. Follow the Policies & SOP decided by the management 42. Attend training as and when organized at the clinic 43. Face external and internal audits as and when conducted also ensure Opportunity for Improvement (OFI) and Non-conformity (NC) related to CRM are closed within stipulated time. 44. Maintenance of the Front office as and when necessary. 45. Perform any other tasks allocated by management as per requirement. |
