Front Desk Officer
Job Description:
Key Responsibilities:
1. Reception Duties:
o Greet and welcome visitors in a friendly and professional
manner.
o Answer, screen, and forward incoming phone calls.
o Provide accurate information in-person and via
phone/email.
2. Administrative Support:
o Manage front desk activities including correspondence,
mail distribution, and couriers.
o Update calendars and schedule meetings.
o Prepare and distribute correspondence, memos, and
reports.
o Order office supplies and maintain inventory
o Provide support to other department as needed.
3. Customer Service:
o Handle client inquiries and provide solutions or redirect
to the appropriate department.
o Assist clients and visitors with general inquiries about the
organization.
o Address and resolve minor client complaints.
4. Office Maintenance:
o Ensure the office area is tidy and presentable, with all
necessary stationery and material (e.g., pens, forms, and
brochures).
o Monitor office supplies and place orders when necessary.
5. Record Keeping:
o Maintain and update visitor logs and employee
directories.
o Keep accurate records of calls and visitor inquiries.
