JOB DESCRIPTION - STUDIO MANAGER Administrative Tasks: Handling enquiries - This includes managing emails, answering phone calls, and dealing with general correspondence. a. Respond to client inquiries within 24 hours of receiving them. b. Use pre-approved email templates to provide consistent and professional responses. c. Gather necessary information from clients, such as shoot preferences, date availability, and special requests. d. Document client inquiries and responses in the CRM system for future reference Scheduling & calendar management The studio manager maintains a master schedule, coordinating with photographers to avoid scheduling conflicts and double bookings. They ensure that appointments and shoots are properly scheduled, taking into account the availability of photographers, studio space, and any additional equipment or props required. a. Coordinate with clients and photographers to find suitable dates and times for photo sessions. b. Utilise a scheduling tool to avoid double bookings and manage th studio's availability. c. Send appointment confirmation emails to clients, including session details, location, and any preparation instructions. d. Set up reminders for both clients and photographers a day or two before the scheduled session. Organise records and files a. Client database b. client information, shoot details are properly documented and easily 

Financial Administration a. Generate invoice b. Track payments / outstanding balances c. Financial reporting

Office management 6. 7. a. Office supplies & inventory management b. Maintain cleanliness & organisation in the studio space c. Equipment repair and maintenance d. Manage subscription for softwares & services.

Communication language a. Establish preferred communication channels with clients, such as email or phone. b. Set response time expectations for client inquiries, aiming to reply within 24 hours. c. Use email templates for common inquiries or requests to provide consistent and efficient responses. d. Utilize a shared communication platform for internal team collaboration and quick updates
