Job Description:

Position Name Manager/Sr Manager – Human Resources
Reports to (Position): SVP Human Resources
Location: Mumbai
Position Purpose:

Managing all HR technology solutions and related HR operations.

Principal Accountabilities:

HRIS system management

• Data Organisation and Migration
• Finalizing and populating templates for migration of data with HR IT team and HRIS vendor.
• HR process redesign and/or initiate customization in the HRIS solution
• Custodian for offline legacy data (data not being migrated to HRIS)– PeopleSoft, GTAS
• Developing upload utilities in partnership with HRIS vendor to maximise the automation and reduce reliance on reconciliation.
• Develop and administer close to 150 communication templates across emails, letters, messages, notifications, WhatsApp(if tech permits)

• Admins Set ups & management
• Managing the HRIS administrator setup - employee data masters management and policy/ rule setup, mandatory data sets, data visibility, process workflows etc ensuring process workflows and their approvals function as per requirements.
• Responsible for setting up and maintenance of the data access management across departments/ employee levels, roles and role players, teams and org structure etc on the HRIS to maintain data confidentiality for both personal data (SPDI, IT Act etc) and employment data e.g compensation 
• Set up of various HR process workflows as per requirement.
• Set up of email and letter templates linked to various HR processes as part of process automation.
• HRIS system management
• Responsible for managing the data on the HRIS – data input, validation, corrections, changes and updates in employee personal and professional data.
• Managing data integrity and consistency across the HRIS and other associated systems.
• Managing employee transactions, manager and process owner approvals as required
• Monitoring the processes running on HRIS system as required.
• HR process approver for basic HR processes.
• Generate employee letters as and when required

• Employee lifecycle process mgmt. on HRIS -Manage and execute HR employee life cycle processes on HRIS
• Position and HC mgmt.
• Employee requisition and hiring mgmt
• Employee personal data mgmt.
• Employee requisition process with approval and budget tracking, candidate engagement, Onboarding process setup
• Leave & Attendance set ups - Leave administration for different leave types ensure correct leave calculations of credit and debit on system and required approval workflows.
• Employee certifications and certification renewals mgmt. with required reminders, escalation emails and warnings.
• Employee job data, compensation data management, and Benefits setup.
• Set up CTC components with checks and formulas for auto calculation as much as possible – this forms inputs for Offer letters, monthly payroll, annual compensation review and FnF settlements.
• Employee confirmation process mgmt
• Performance review and feedback process mgmt
• Talent Review & Succession planning process mgmt
• Annual reviews & increment letters process mgmt.
• Training and Development setups with mandatory compliance and statutory trainings assigned as required.
• Employee exit and separation management process with exit surveys, clearances and clawback information workflows.

• Data analytics and reporting
• Design and access of reports to various processes for stakeholders across organisation
• Generating and publishing key HR reports and dashboards
• Enabling reports for each process as required.
• Process monitoring for completion and quality through reports and dashboards.
• Maintain key organisation metrics and build tracking mechanisms through reporting – Budgets, HCs, org charts etc
• Fulfil requests for data across departments as and when required.

• System mobility and data sharing
• Managing and maintenance of HRIS mobile app access for employees
• Responsible for data on the Careers page (external facing & integration with company website) published from the HRIS
• Manage interface and links with outside systems with data sharing/integration from HRIS like candidate websites (LinkedIn, Naukri etc), FADV (Background check) etc.
• APIs mgmt. – front end the approvals and management of HRIS APIs sharing data with other company systems e,g Finance, compliance, business systems as the case may be. Work with HRIS vendor for creation of APIs basis business requirements

• Ongoing maintenance & upgrades 
• Responsible for managing the Disaster Recovery and BCP for the HRIS along with the vendor and company BCP team/IT team.
• Responsible for the testing and onboarding of the new upgrades in the system as and when applicable. 
• Onboard Process best practices from HRIS product where applicable
• Responsible for ongoing HRIS vendor management.
• Trouble shooting and managing the vendor relationship

Managing other HR technology solutions
• LTI program mgmt. off or on system
• FADV/any other background verification provider (BGV)
• Play the role of administrator for this system
• Manage service contracts, TATs and uptime with BGV vendor
• Set and oversee the process workflows for the BGV process on the BGV system
• Reporting and analytics from the BGV system and vendor review basis the same
• Manage APIs or data sharing templates for data transfer between HRIS and BGV system

• Employee document management system – Kleeto
• Manage service contracts, TATs and uptime with the vendor
• Reporting and analytics from the Kleeto system
• API mgmt. between Kleeto and HRIS or explore moving the capabilities from Kleeto to HRIS when possible.
• Learning Management System management
• Managing relationships with learning vendors for online content delivery
• Link with HRIS LMS where possible or manage LMS system independently as the case may be.
• Import reports to HRIS for managing employee learning transcripts on HRIS

• Reporting and analytics
• Klib – Employee online library
• Manage overall contract with the vendor
• Share data with KLIB system to enable employee access
• Explore API sharing between HRIS and Klib
• Manage other technology solutions like Digisign, legality, digilocker, employee engagement survey platform, rewards and recognition platform etc as and when needed.
Employee experience & communication management wrt HR technology solutions
• Employee Intranet - Design layout and scope of content for the employee intranet portal to make it concurrent, engaging and interesting. Responsible for communication plan, timely publishing of communication and availability of concurrent information on the portal.
• HRIS landing page - responsible for broad level colour schemes, widget design and layout, widgets library design for employee to choose from, and design of default landing page.
• Manage the automated email communication from HRIS to employees linked to each process/action on HRIS
• AI chat bot management – AI chatbot on HRIS will be dependent on the background setups and information availability – responsible to manage the same including upkeep of concurrent policy documents so the tool work well.
• Manage employee queries on HR technology applications. and service ops,

Knowledge, Skills, Competencies

 MBA HR
 Experience of managing HRIS
 Strong orientation for data reporting and analytics - Ability to create dashboards and complex data analysis
 Strong excel and ppt skills
 Learning orientation and growth mindset
