Job Summary

The Freight Procurement & Logistics Coordinator is responsible for managing the procurement and coordination of ocean freight, air freight, and related services, such as transportation, customs handling (CHA), and CFS services. The role involves negotiating rates and terms with liners, preparing quotes, booking shipments, and ensuring timely invoicing and reporting. This position ensures smooth coordination between sales, customers, liners, and internal departments.

Key Responsibilities:

  1. Freight Procurement:

    • Negotiate short-term and long-term pricing and space requirements with liners.
    • Procure ocean freight and related services (Transportation, CHA, CFS).
  2. Pricing & Quotations:

    • Price export ocean/air freight inquiries from the sales department.
    • Handle RFQs, tenders, and rate negotiations for long-term and short-term contracts.
  3. Customer & Operational Coordination:

    • Attend to key customer inquiries and ensure service delivery.
    • Coordinate with liners, clients, and internal/external CHA teams for customs clearance.
    • Send quotations to clients or sales personnel as required.
  4. Booking & Documentation:

    • Once quotations are approved, communicate with the CS/OPS team for booking confirmation.
    • Process delivery orders (DO) and send to the customer.
  5. Invoicing & Revenue Reporting:

    • Take invoices from liners, resolve any discrepancies, and send invoice instructions to the accounts department.
    • Send updated daily/weekly/monthly revenue reports and DSR (Daily Sales Report).
  6. Team & Performance Monitoring:

    • Monitor and assess the performance of the CS & OPS departments to ensure efficient operations.
  7. Additional Duties:

    • Perform other tasks as assigned by management from time to time.

Qualifications:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business, or related field.
  • 3-5 years of experience in freight procurement, logistics, or related operations.
  • In-depth knowledge of ocean and air freight procurement, shipping processes, and documentation.
  • Strong communication and negotiation skills.
  • Proficiency in MS Office and relevant freight management software.
