Job Description:

Designation: HR Assistant Manager
Experience: 4 years 
Job Location: Andheri East
Salary Range:
 Best in industry + Benefits
Working Days: 5 days a week (Mon to Fri) and (Sat and Sun fixed off)
Work Timings: 10:30 AM – 7:30 PM

RESPONSIBILITIES :

Recruitment & Talent Acquisition (End-to-End)

  • Own end-to-end recruitment coordination: requisition alignment, JD finalization, sourcing support, recruiter coordination and interview scheduling.
  • Build and manage a high-quality pipeline for diverse roles — creative, scientific, activation and operations profiles.
  • Maintain trackers, candidate documentation, interview feedback, and recruitment reports with strong hygiene.
  • Coordinate assessments, offer discussions, negotiations and offer rollouts with leadership.
  • Ensure strong candidate experience and smooth offer-to-join conversion.

Employee Onboarding & Offboarding

  • Own complete onboarding paperwork: offer letters, declarations, ID proofs, bank details, education certificates, PF/ESI forms (as applicable), NDAs and policy acknowledgements.
  • Ensure all onboarding documents are verified, signed, scanned, uploaded and stored systematically with zero gaps.
  • Own end-to-end onboarding: documentation, background checks (if required), offer letters, joining formalities, system access, and orientation.
  • Ensure all joining documentation is completed, verified, organized and stored correctly.
  • Manage offboarding processes: resignation acceptance, notice period tracking, handover coordination, exit documentation and final settlement coordination.
  • Ensure joining and exit processes are smooth, compliant and well documented.

HR Operations, Policies & Compliance

  • Own HR operations and compliance processes: PF/ESI (as applicable), statutory requirements, employee records, and audit readiness.
  • Update and maintain HR policies, SOPs, templates and HR documentation regularly.
  • Ensure policy compliance including code of conduct, discipline policies, ethics, confidentiality and workplace standards.
  • Maintain employee master database with zero-miss documentation hygiene.

Attendance, Leave & Payroll Coordination

  • Own attendance management, leave tracking, holiday calendars, roster coordination (if applicable) and monthly HR reporting.
  • Coordinate payroll inputs with accounts/payroll partner: attendance, leaves, reimbursements, incentives, deductions and compliance inputs.
  • Support payroll execution and ensure timely, accurate closure of payroll cycles.
  • Resolve payroll-related employee queries with clarity and sensitivity.

Employee Engagement, Culture & Training

  • Drive annual appraisal and increment cycles end-to-end: appraisal templates, performance data collation, review coordination, increment letters, and documentation closure.
  • Coordinate increment planning and communication with leadership and finance to ensure timely rollout and compliance.
  • Own the appraisal cycle support: appraisal calendars, feedback collection, documentation, performance review trackers and coordination with leadership.
  • Support creation and rollout of professional development plans and performance improvement plans (PIPs) where required.
  • Plan and execute employee engagement initiatives: townhalls, celebrations, learning sessions, recognition and feedback loops.
  • Support training calendars and professional development programs across teams.
  • Work closely with leadership to strengthen culture, motivation, retention and team bonding.
  • Maintain engagement trackers and propose improvements based on feedback and observations.

Conflict Resolution, Discipline & Employee Relations

  • Act as the bridge between management and employees to address concerns, grievances and conflicts.
  • Handle disciplinary issues, counseling sessions and policy violations professionally and fairly.
  • Ensure employee relations are healthy, respectful, ethical and aligned with company values.
  • Support leadership in maintaining high-performance culture with empathy and structure.

Operations Support (As Needed)

  • Support operations team with administrative tasks, vendor coordination, facility requirements or process trackers when required.
  • Assist in maintaining structured internal processes and documentation hygiene across teams.
  • Support leadership with any HR-related operational initiatives.

TOOLS & SYSTEMS :

  • HRMS / HRIMS tool experience (Zoho People / Keka / Darwinbox / BambooHR or similar) — for attendance, leave, employee records and workflows
  • Ability to implement, manage and improve HRMS workflows and adoption across teams
  • Microsoft Office / Google Workspace (Excel skills required for HR tracking and reporting)
  • HR trackers & dashboards (attendance, recruitment, employee database)
  • Document management systems with strong file hygiene
  • Payroll coordination systems and compliance workflows (as applicable)
  • Recruitment portals / LinkedIn / vendor coordination tools

QUALIFICATIONS :

  • 5–9 years of experience in HR / People Operations / HR Generalist roles (creative agency / activation / production environment strongly preferred).
  • Strong hands-on experience managing end-to-end HR operations (recruitment, onboarding, compliance, payroll coordination, engagement).
  • High maturity in handling conflict resolution, discipline, ethics and sensitive employee issues.
  • Experience working with diverse teams and profiles (creative, scientific, production, operations) is highly preferred.
  • Excellent communication skills (spoken & written) with strong interpersonal skills.
  • Strong process discipline: documentation, trackers, templates, SOPs and HR database hygiene.
  • Strong attention to detail and ability to manage multiple HR priorities in a high-dynamic environment.
  • Bachelor’s / Master’s degree in HR, Psychology, Business Management or related fields.

KEY PERFORMANCE INDICATORS (KPIs) :

  • Recruitment metrics: time-to-hire, offer-to-join ratio, pipeline health, and candidate experience score
  • Onboarding readiness score: zero missing documents, successful joining preparedness, smooth first-week experience
  • HR compliance score: policy adherence, audit readiness, statutory compliance, documentation hygiene
  • Attendance & leave accuracy: month-end closure without errors; timely updates and reporting
  • Payroll input accuracy and on-time closure; reduction in payroll-related queries/errors
  • Employee engagement execution score: events, training sessions, feedback loops and participation rates
  • Employee relations health: resolution time for grievances/conflicts, disciplinary case closure quality
  • Retention & culture contribution: employee satisfaction indicators, feedback improvements, engagement trend
