Job Description:
The Facility Executive – Soft Services manages and oversees the delivery of non-technical facility services to ensure a clean, safe, secure, and comfortable working environment within real estate properties (e.g., corporate offices, residential buildings, or commercial spaces). This includes managing third-party vendors and internal staff for housekeeping, security, and pantry services. 
Key Responsibilities
  • Security & Safety Management:
    • Oversee daily security operations and access control.
    • Implement and maintain safety procedures and ensure compliance with all health, safety, and environmental standards.
    • Participate in emergency evacuation procedures and crisis management.
    • Liaise with local authorities (e.g., police) and security vendors.
  • Housekeeping & Maintenance:
    • Supervise daily cleaning activities across all areas, including offices, common areas, restrooms, and external premises.
    • Conduct regular inspections and audits to ensure the highest standards of cleanliness and hygiene are met.
    • Coordinate with maintenance/engineering teams for prompt resolution of repair issues.
  • Pantry & Hospitality Services:
    • Oversee pantry and cafeteria services, ensuring hygiene standards are maintained.
    • Manage the inventory and replenishment of pantry and cleaning supplies (e.g., toiletries, coffee, snacks).
    • Coordinate catering and logistics for meetings, events, and VIP client visits.
  • Vendor & Staff Coordination:
    • Manage and supervise internal staff and outsourced vendor teams, including scheduling, training, and performance monitoring.
    • Monitor vendor performance against Service Level Agreements (SLAs) and resolve issues promptly.
  • Reporting & Administration:
    • Prepare and submit daily, weekly, and monthly reports on service performance, inventory, and expenses.
    • Manage budgets and track costs for related services. 
Qualifications & Skills
  • Education: A diploma or bachelor's degree in facilities management, hotel management, or a related field is often preferred.
  • Experience: Typically 2-7 years of experience in facility service management, corporate hospitality, or a similar role. Experience in the real estate sector is a plus.
  • Skills:
    • Strong leadership, team management, and problem-solving skills.
    • Excellent communication and coordination abilities to interact with staff, vendors, and clients effectively.
    • Strong attention to detail and a commitment to maintaining high standards.
    • Knowledge of health, safety, and environmental regulations (OSHA, etc.).
    • Proficiency in MS Office and facility management software for reporting and inventory tracking.
