Job Description:

Job Summary

The Export Documentation Executive is responsible for preparing, managing, and verifying all export-related documents in compliance with international trade regulations. The role ensures smooth shipment processes, timely documentation, and coordination with internal teams, freight forwarders, CHA, and banks.

Key Responsibilities

 Prepare and verify Commercial Invoices ensuring accuracy of pricing, terms, and buyer details

 Generate Packing Lists with correct product description, quantity, weight, and packaging details

 Coordinate and review Bill of Lading / Airway Bill for accurate shipment and consignee information

 Arrange and validate Certificate of Origin as per export requirements and trade agreements

 Ensure preparation and verification of Insurance Certificates covering shipment risks

 Prepare and file Shipping Bills in compliance with customs regulations and export procedures

 Coordinate with freight forwarders, CHA, shipping lines, and transporters for timely shipment execution

 Handle documentation related to Letter of Credit (LC) and ensure compliance with LC terms

 Ensure compliance with export regulations, customs laws, DGFT guidelines, and company policies

 Liaison with all stakeholders for export activities including inland ports, CHA, transporters, shipping lines, and banks

 Prepare and submit documents for bank negotiation under LC / advance / DA / DP terms  Track shipments and maintain proper records of all export transactions

 Manage and ensure eBRC (Electronic Bank Realisation Certificate) closure

 Ensure proper filing and tracking on government portals such as DGFT and ICEGATE

 Handle GST, E-way bill, and other statutory compliance related to exports

 Monitor and manage export benefits such as RODTEP and Duty Drawback

 Coordinate with production, dispatch, and sales teams for shipment planning

 Resolve documentation discrepancies and follow up with concerned parties Required Skills & Qualifications

 Bachelor’s degree in Commerce, International Business, or related field

 2–5 years of experience in export documentation

 Strong knowledge of export procedures, Incoterms, and LC documentation

 Working knowledge of DGFT, ICEGATE, and customs compliance

 Proficiency in MS Excel, Word

 Good communication and coordination skills

 Strong attention to detail and ability to meet deadlines

 Experience in handling export incentives (RODTEP, Duty Drawback)

 Familiarity with port operations (Mundra, Nhava Sheva, etc.)

 Experience in dealing with CHA and freight forwarders
