Job Title-Compliance Executive – Human Resources

Location- Marine Lines

Department-Human Resources

Reporting To-HR Manager / Head – HR

  • Working Days - 6 Days a week
  • Working Timings - 8.50 hours (stretch if required)

Role Objective

The Compliance Executive – HR will be responsible for ensuring 100% statutory and labour law compliance across factory, retail, and corporate operations of  company.

The role focuses on managing registrations, returns, inspections, audits, and coordination with consultants and government authorities.

Key Responsibilities

  1. Statutory & Labour Law Compliance
  • Ensure compliance with all applicable labour laws including but not limited to:
    • Factories Act, 1948
    • Shops & Establishments Act
    • Payment of Wages Act
    • Minimum Wages Act
    • Employees’ Provident Fund (EPF)
    • Employees’ State Insurance (ESI)
    • Payment of Bonus Act
    • Payment of Gratuity Act
    • Contract Labour (Regulation & Abolition) Act
  • Track amendments in labour laws and advise HR and management on changes.
  1. Payroll & Statutory Returns
  • Coordinate with payroll team/consultants to ensure accurate statutory deductions and timely payments (PF, ESI, PT, LWF, etc.).
  • Prepare, verify, and file monthly, quarterly, and annual statutory returns.
  • Maintain compliance calendars and ensure zero delays or penalties.
  1. Inspections, Audits & Liaison
  • Handle inspections and audits by labour authorities, PF/ESI officials, and other statutory bodies.
  • Prepare documentation, registers, and records required for audits and inspections.
  • Liaise with government departments, consultants, and legal advisors.
  1. Registers, Records & Documentation
  • Maintain statutory registers, records, notices, and displays as per legal requirements.
  • Ensure records are updated for factory workers, retail staff, contract labour, and trainees.
  • Support digitisation and audit-readiness of compliance records.
  1. Contract Labour Compliance
  • Ensure compliance for contractors, vendors, and third-party manpower.
  • Verify contractor licenses, statutory payments, challans, and returns.
  • Conduct periodic audits of contractors to ensure statutory adherence.
  1. Employee Support & Advisory
  • Address employee queries related to statutory benefits (PF, ESI, gratuity, bonus, etc.).
  • Support HR in disciplinary actions ensuring legal compliance and documentation.
  1. Reporting & MIS
  • Prepare compliance MIS, dashboards, and reports for management review.
  • Track non-compliance risks and proactively recommend corrective actions.

Key Skills & Competencies

  • Strong knowledge of Indian labour laws and HR compliances
  • High attention to detail and documentation accuracy
  • Ability to coordinate with multiple stakeholders (HR, payroll, consultants, authorities)
  • Good communication and drafting skills
  • Ethical, discreet, and process-oriented mindset

Qualification & Experience

  • Bachelor’s degree in HR, Law, Commerce, or related field
  • Additional certification/diploma in Labour Laws preferred
  • 3–6 years of hands-on experience in HR compliance, preferably in manufacturing, factory, retail, or FMCG/F&B sectors

  • Payroll systems
  • MS Excel & HRMS
  • Government portals (EPFO, ESIC,etc.)
