Receptionist

Job Description:

Key Responsibilities:

1. Front Desk Operations:
- Greet clients and pets warmly upon arrival.
- Manage check-in and check-out process efficiently.
- Handle phone calls, WhatsApp, emails, and online inquiries.
- Schedule, reschedule, and confirm appointments.
- Maintain a clean, organized, and welcoming reception area.

2. Client Service & Communication:
- Provide clear information on services, packages, pricing, and procedures.
- Assist clients with registration, forms, consent documents, and feedback.
- Address client concerns professionally and escalate to the manager when needed.
- Coordinate with pet parents for follow-up visits, vaccinations, and reminders.

3. Billing & Cash Handling:
- Generate invoices and handle billing accurately.
- Manage cash, card, UPI, and online payments.
- Maintain daily cash reports and reconcile payments at day-end.
- Ensure all services are billed correctly.

4. Coordination & Support:
- Coordinate with veterinarians, technicians, and support staff regarding client flow.
- Ensure timely movement of patients to consultation rooms.
- Update and maintain client and patient records in the system.
- Assist in inventory updates, when required.

5. Compliance & Protocols:
* Following clinic SOPs for hygiene, safety, and client handling.
* Ensuring confidentiality of client and patient information.
* Reporting any operational issues to the Clinic Manager.

Skills & Competencies:
- Fluent communication skills (English).
- Strong customer service orientation.
- Ability to multitask in a fast-paced environment.
- Basic computer proficiency (MS Office, CRM/EMR systems).
- Positive attitude and team player mindset.

Qualifications & Experience:
- Graduate (Preferred).
- 5+ years of experience in Reception / Front Desk / Customer Service (Hospital / Clinic / Pet industry preferred).
