Position Overview

Designation: EA to MD

• Location: Nariman Point, Mumbai

• Reporting To: Managing Director

• Work Timings: 9am - 6pm

• Work Days: Monday - Saturday (2 saturdays off)

Job description

• Schedule Management: Prioritize and optimize the Managing Director’s calendar, ensuring optimal alignment with strategic company goals.

• Gatekeeping: Screen and direct correspondence, fielding inquiries from stakeholders, clients, and internal staff.

• Stakeholder management: Serve as the liaison between the executive office, internal teams, and external partners.

• Meeting coordination: Build meeting agendas, record detailed minutes of meetings (MoMs), and track pending action items.

• Data collection: Gather daily, weekly, and monthly operational metrics from various department heads.

• Travel & Logistics: Plan comprehensive domestic and international travel itineraries, and accurately reconcile expense reports.

• Project Support: Manage ad-hoc operational initiatives, prepare presentation decks, take meeting minutes, and track action items.

• Relationship Management: Build trusting relationships with internal teams and external partners on behalf of the executive.

Essential Qualifications & Requirements

• Experience: 8+ years of proven experience in an administrative or senior support role reporting to senior management.

• Technical Skills: Advanced proficiency in productivity tools such as MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.

• Soft Skills: Superior emotional intelligence, trustworthiness, and the ability to anticipate needs proactively.

• Communication: Exceptional written and verbal communication skills to draft memos and communications with clarity and professionalism
