Job Description:

Provide full administrative and secretarial support to CMD for smooth management of day affairs / Handling sensitive and complex issues professionally / Managing MD's travel arrangement (VISA , ticketing, cab services, accommodation) / Process all MD correspondence of MD / Maintain MD Office systems / Manage MD's electronic diary, assess priority of appointments and relocation as necessary / Maintain records of MD contacts, screening the calls, enquiries and requests and deal when appropriate / Assist MD in researching and follow up with actions on matters which fall within the CMD responsibility follow up actions / Produce documents, briefing papers, reports and presentation for the MD / Organize meetings and ensure that MD is well prepared for these meetings, prepare agenda, prepare meeting briefings and meeting papers. Preparing minutes of the meeting / Meet and greet visitors at all levels of seniority. Supervise all incoming and outgoing mails / DPR Summary of all HODs and their teams.

 Manage the Meetings Calendar accurately and timely. 2. Manage the travel and Stay plans of the MD on personal and official trips without any glitch. 3. Coordinate with HNI customers. Visitors, known acquittances of MD, guests for appointments smoothly and without offending them in any manner. 4. Coordinate with the HODs for timely submissions of reports - DPR  or any other MIS. 5. Prepare business review presentations or any other office business related presentations for the MD. 6. Put up all important documents to MD with highlights, if required to do. 7. ensure that the mails (physical and internet) are managed well. 8. Attend to all office related activities such as proper functioning of gadgets / laptops / computers, etc of the MD. 9. Ensure that the grievances and complaints received from internal and external stakeholders are attended to and manged well

Computer and technical skills - well versed with internet, MS Office such as PowerPoint, Excel spreadsheets and word / Typing and note-taking / Have exceptional organizational skills / Attention to detail / Flexibility and adaptability / Time-management / Have strong written and oral communication skills in English and hIndi - understanding of Odia language will be an added advantage. / Ability to take notes and reproduce accurately on computer
