Job Description:

Key Responsibilities:

  1. Calendar Management:

    • Manage and prioritize the director's calendar, scheduling appointments, meetings, and events.
    • Coordinate with internal and external parties to arrange meetings and ensure availability.
  2. Communication and Correspondence:

    • Screen and manage the director's emails, phone calls, and other forms of communication.
    • Draft, proofread, and edit correspondence, reports, and presentations on behalf of the director.
  3. Travel Coordination:

    • Arrange domestic and international travel logistics, including flights, accommodations, and transportation.
    • Prepare travel itineraries and ensure all necessary arrangements are in place.
  4. Meeting Coordination:

    • Organize and coordinate meetings, conferences, and presentations.
    • Prepare meeting agendas, materials, and documentation.
  5. Document Management:

    • Maintain and organize files, records, and confidential information.
    • Ensure that documents are properly archived and easily accessible.
  6. Task Delegation:

    • Assist in managing tasks and assignments, ensuring that deadlines are met.
    • Coordinate with other departments or team members to facilitate task completion.
  7. Office Management:

    • Oversee the smooth running of the director's office, including ordering supplies and managing office equipment.
    • Handle administrative tasks such as expense reports and budget tracking.
  8. Stakeholder Liaison:

    • Act as a point of contact between the director and internal/external stakeholders.
    • Build and maintain positive relationships with key contacts.
  9. Confidentiality:

    • Handle sensitive and confidential information with discretion and professionalism.
    • Uphold a high level of confidentiality in all aspects of the role.
  10. Problem Solving:

    • Anticipate and proactively address issues or challenges that may arise in the director's day-to-day activities.
    • Provide solutions and recommendations as needed.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience as a Personal Assistant or Executive Assistant.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (e.g., Microsoft Office suite).
  • Ability to work independently and handle tasks with minimal supervision.
