Job Description:

 The Administrative Coordinator will be responsible for efficiently managing various administrative tasks including calendar preparation, school timetable coordination, budget approval assistance, Program planning, and calendar scheduling. The role requires strong organizational skills, attention to detail, and the ability to multitask effectively. The Administrative Coordinator will work closely with different departments and stakeholders to ensure smooth operations and timely execution of administrative activities.

 

Key Responsibilities:

  • Calendar Preparation: Create and maintain calendars for school activities, events, and important dates. Coordinate with relevant departments to ensure accuracy and consistency in scheduling.
  • School Timetable Coordination: Assist in the development and maintenance of school timetables, taking into account faculty availability, classroom resources, and student needs. Make adjustments as necessary and communicate changes to relevant parties.
  • Budget Approval Assistance: Support budget planning and approval processes by collecting and organizing financial data, preparing budget documents, and facilitating communication between departments and financial stakeholders.
  • Observatory Planning: Collaborate with event organizers and stakeholders to plan and execute events, including coordinating logistics, managing budgets, securing venues, and liaising with vendors and performers.
  • Calendar Scheduling: Schedule meetings, appointments, and events for General Public , students, and external stakeholders. Ensure efficient use of time and resources by avoiding scheduling conflicts and optimizing meeting arrangements.

 

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience in administrative support roles, preferably in an educational or cultural organization.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal abilities, with the capacity to work effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and calendar management software.
  • Attention to detail and accuracy in data entry and document preparation.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and requirements in a fast-paced environment.
