Overview: We are seeking a proactive and organized Executive Assistant to provide high-level administrative support to our Managing Director. The successful candidate will play a key role in managing the MD's schedule, communications, and administrative tasks, enabling them to focus on strategic priorities and business objectives. This position requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Responsibilities:
- Manage the Director's calendar, schedule appointments, and coordinate meetings, both internally and externally.
- Act as the primary point of contact for the Director, screening and prioritizing incoming communications, emails, and phone calls.
- Prepare and edit correspondence, presentations, reports, and other documents on behalf of the Director.
- Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring smooth logistics and timely itineraries.
- Making appointments & reservations for the Director along with checking & keeping record of bills & ensuring timely payments.
- Anticipate the Director's needs and proactively address issues or concerns, demonstrating a high level of responsiveness and initiative.
- Organize and maintain files, records, and confidential information in electronic and hard copy formats, ensuring accuracy and accessibility.
- Assist with special projects, research initiatives, and ad hoc assignments as requested by the Director.
- Maintaining an organized filing system for important documents & business cards as required.
- Liaise with internal departments, external stakeholders, and clients on behalf of the Director, fostering positive relationships and effective communication.
- Prepare meeting agendas, take minutes, meeting notes, take dictation, compose mails and follow up on action items to facilitate effective decision-making and progress tracking.
- Provide administrative support to other members of the executive team and participate in cross-functional initiatives as needed.
- Co-ordination of the Directors schedule for conferences, events and seminars.
- Flexibility in terms of working hours and days.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Proven experience as an Executive Assistant or similar role supporting senior executives or C-suite leaders.
- Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines.
- Strong written and verbal communication skills, including professional etiquette and diplomacy in dealing with stakeholders.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
- Excellent problem-solving skills and the ability to think critically and make sound judgments in a fast-paced environment.
- Flexibility and adaptability to changing priorities and business needs.
- Previous experience in a corporate or executive office environment is highly desirable.
