Job Description:
Required Executive Assistant to the Managing Director
For Raipur, Chhattisgarh based NSE/BSE listed, pan India transport service provider.
Responsibilities:
Executive Assistant to be plays an essential part in ensuring the smooth running of the Director’s Office, providing efficient and accurate administration support to the Director.
Responsibilities will include diary management, complex travel arrangements and expenses, managing correspondence, as well as discretely handling confidential and sensitive information, information gathering and web searching.
Administration Role:
♦ Proactively managing the Director’s complex and flexible diary, assisting him to maximize his time productivity, such as advising him on upcoming commitments, prioritization, managing regular changes and dealing professionally with competing meeting requests.
♦ Making complex travel arrangements (including international), hotel bookings, visa requirements etc.
♦ Managing the Directorate filing systems, mailing list and contacts database, taking telephone messages and dealing appropriately with incoming and outgoing post.
♦ Participating in team meetings, retreats and other company events.
♦ Other clerical duties and special projects as arise.
Finance and legal Role:
♦ Responsible for processing all expense claims, recording and monitoring Director’s expenditure within agreed guidelines.
Liaison Role:
♦ Working with Director to respond to general information requests and to disseminate information through e-mail, mail, publications and web pages.
♦ Providing assistance to visitors and staff as appropriate to their position, seniority and urgency.
♦ Liaising with the Director and actively updating his work plan, projects and responsibilities, including monitoring of commitments and deadlines, maintaining confidentiality.
Qualification:
♦ Education to degree standard or equivalent
Knowledge:
♦ A good working knowledge and skills of Microsoft applications (Word, Excel, Power Point and Outlook), including a good understanding and practical experience of using databases, spreadsheets and the Internet.
♦ Understanding of financial spreadsheets in Excel.
Skills:
♦ Excellent written and verbal communication skills.
♦ Planning, prioritization and time management skills.
♦ Excellent logistical skills – making arrangements for travel, complex diary management.
♦ Excellent interpersonal skills, dealing with people at senior levels professionally and with appropriate confidentiality.
Experience:
♦ At least 5 years professional experience of all aspects of personal administration.
♦ Experience of working under pressure in order to meet tight and changing deadlines.
