Designation: Executive Assistant to a Permanent Trustee
Work Timings: 10 a.m. – 6 p.m.
Working Days: Monday – Saturday (Alternate Saturdays)
Work Location: Bandra West
Salary: Basis current and expected package.
Other benefits- Entitled to 30 days leave in a year
We are seeking a mature, highly organized, and experienced Executive Assistant to support the Permanent Trustee of a leading hospital. This role is pivotal in ensuring seamless operations and efficient management of the trustee's daily activities. The ideal candidate will be a seasoned professional with strong problem-solving abilities, capable of thinking on their feet and handling confidential information with the utmost discretion.
Key Responsibilities:
- Calendar Management: Expertly manage and coordinate the trustee’s schedule, including meetings, appointments, and travel arrangements.
- Communication: Act as the primary liaison between the trustee and internal/external stakeholders, managing correspondence, phone calls, and inquiries with professionalism.
- Meeting Preparation: Prepare agendas, reports, presentations, and other documents required for meetings; take detailed minutes and ensure follow-up on action items.
- Documentation: Maintain and organize important documents, files, and records, ensuring that all documentation is current and accessible.
- Project Coordination: Assist in the planning and execution of special projects and initiatives, ensuring deadlines are met and objectives are achieved.
- Travel Arrangements: Organize and coordinate travel itineraries, accommodations, and transportation for both domestic and international trips.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and integrity.
- Problem Solving: Address and resolve issues promptly and efficiently, utilizing sound judgment and the ability to think on your feet.
- Organized Support: Ensure all tasks are completed in an orderly, systematic manner, contributing to an efficient and productive work environment.
- Administrative Support: Perform general administrative tasks, including managing office supplies, processing expenses, and coordinating with other departments as needed.
Qualifications:
- A bachelor’s degree or equivalent.
- Minimum of 10 years of experience as an Executive Assistant or in a similar role, preferably within the healthcare sector.
- Minimum age of 35 years, with the maturity and experience to handle complex situations effectively.
- Highly organized, with strong attention to detail and the ability to manage multiple tasks simultaneously.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Discretion and confidentiality are essential.
- Shorthand: Take notes in shorthand to capture key points during meetings (an advantage but not mandatory).
