A Secretary to the MD & Director provides high-level administrative support by managing schedules, coordinating travel and meetings, preparing documents, and serving as a liaison between the executives and stakeholdersKey responsibilities include maintaining confidentiality, handling communications, organizing events, and offering proactive support to ensure the smooth and efficient operation of the executive office. 
 
Key Responsibilities
  • Schedule and Calendar Management:
    Manage the MD's and Directors' complex calendars, schedule appointments, meetings, and conferences, and coordinate travel arrangements. 
     
  • Communication:
    Serve as a primary point of contact, handling correspondence and managing emails on behalf of the executives. 
     
  • Meeting Coordination:
    Organize meetings by preparing agendas, taking minutes, and distributing them to attendees. 
     
  • Document Preparation:
    Draft, edit, and format correspondence, reports, presentations, and other important documents. 
     
  • Stakeholder Relations:
    Act as a liaison with internal staff and external stakeholders, coordinating commitments and following up on tasks. 
     
  • Confidentiality:
    Handle sensitive and confidential information with the utmost discretion. 
     
  • Administrative Support:
    Manage administrative tasks such as processing bills, managing vendor relations, and handling petty cash. 
     
  • Project & Research Support:
    Conduct research, compile data, and provide administrative support for ongoing business initiatives and projects. 
     
Required Skills and Qualifications
  • Strong Organizational Skills: To manage competing priorities and ensure tasks are completed efficiently. 
     
  • Excellent Communication: Superior written and verbal communication skills to interact effectively with all levels of staff and stakeholders. 
     
  • Proficiency in MS Office: Advanced skills in Microsoft Office Suite, including Word, Excel, and PowerPoint. 
     
  • Discretion and Confidentiality: The ability to handle sensitive information securely. 
     
  • Proactive & Problem-Solving: The capacity to anticipate needs, identify issues, and provide proactive solutions. 
     
  • Attention to Detail: Meticulous attention to detail is crucial for accuracy in tasks and documents. 
     
  • Education: A high school diploma is a minimum, though many employers prefer a bachelor's degree, often in business administration or a related field. 
     
  • Experience: Previous experience in an executive administrative or secretarial role is highly advantageous.
