Job Description:
An office secretary provides essential clerical and administrative support to keep organizations running smoothly. Core duties include managing daily calendars, answering phones, organizing physical and digital files, drafting correspondence, and ordering office supplies. They serve as the primary point of contact between staff, management, and clients. 
Key Responsibilities
    • Communication Management: Act as the initial point of contact for the office by answering phone calls, redirecting inquiries, and handling incoming/outgoing mail and emails. 
    • Scheduling & Logistics: Coordinate appointments, maintain executive and team calendars, and book meeting rooms. Arrange travel and accommodation itineraries when necessary. 
  • Documentation & Reporting: Prepare, format, and edit memos, reports, and presentations. Take meeting minutes and distribute them to relevant stakeholders. 
  • Record Keeping: Organize and maintain physical and digital filing systems, ensuring sensitive and confidential company information is handled with discretion. 
  • Office Maintenance: Track and reorder office supplies, maintain office equipment, and liaise with vendors or building maintenance. 
  • General Support: Welcome visitors, process basic invoices or expense reports, and assist other team members with day-to-day administrative tasks. 
Essential Requirements & Skills
  • Organization & Multitasking: Exceptional ability to prioritize tasks, manage time efficiently, and track details across multiple projects.
  • Tech Literacy: High proficiency in standard office software, including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Familiarity with digital calendars and database management.
  • Communication: Excellent verbal and written communication skills with a professional, courteous, and helpful demeanor.
  • Discretion: High integrity and the ability to maintain strict confidentiality regarding sensitive corporate and personnel information.
  • Education & Experience: Typically requires a high school diploma, though formal training, certifications, or a degree in business or administration can be advantageous. Previous administrative or customer service experience is usually preferred.
