Job Description:
A Personal Assistant (PA) to a Director in a Chartered Accountant (CA) firm provides high-level administrative, organizational, and operational support, enabling the Director to focus on strategic priorities and client engagements. This role requires discretion, strong communication skills, and an understanding of the professional environment of an accounting firm.
Key Responsibilities
- Calendar and Schedule Management: Proactively manage the Director's complex diary, including scheduling internal/external meetings, appointments, and events, and resolving conflicts.
- Communication Hub: Act as the primary point of contact between the Director and internal staff, clients, suppliers, and external stakeholders, handling calls, emails, and correspondence with professionalism and discretion.
- Meeting Coordination: Organize meetings and conferences, which includes preparing agendas, collating and circulating relevant papers, taking minutes of meetings, and following up on action points to ensure timely completion of tasks.
- Documentation and Reporting: Prepare, format, and edit various documents, letters, reports, and presentations. This often involves compiling reports related to firm workflow, client information, and tax compliance matters.
- Travel and Expense Management: Coordinate complex travel arrangements, book flights, accommodation, and transportation, and process expense claims for the Director and other team members as required.
- Confidentiality and Data Management: Handle sensitive and confidential information with integrity, maintaining organized physical and digital filing systems and databases in compliance with data protection policies.
- Workflow and Project Support: Assist with project coordination, manage deadlines, monitor pending tasks, and follow up with various departments and clients to ensure smooth workflow and timely delivery of services.
- General Administrative Duties: Perform general office duties, such as ordering supplies, assisting with basic bookkeeping tasks, and running professional or occasional personal errands to support the Director's overall effectiveness.
Essential Skills and Qualifications
- Proven Experience: Prior experience (typically 2-5 years) as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably within a professional services environment like a CA or law firm.
- Organizational Skills: Excellent time management, planning, and organizational skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Communication: Strong written and verbal communication skills in English, with tact and diplomacy when interacting with people at all levels of seniority.
- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software/platforms (e.g., Google Workspace, accounting software).
- Personal Attributes:
- Discretion: Utmost discretion and an understanding of the need for confidentiality in handling sensitive client and company information.
- Proactivity: A self-motivated, proactive approach to problem-solving and anticipating needs before they arise.

- Education: A bachelor's degree or equivalent experience is often preferred, but not always a strict requirement, as relevant experience can be more valuable.
